Privacy Policy
In short: TrialTrack is anonymous by design. It does not ask for your name, email address, phone number, or any personal profile. You sign in with an anonymous participant ID such as p09 that the study team gives you, and the only thing recorded is your simple daily study routine — whether you consumed the study product and how much — together with the messages you send the team. No advertising, no tracking, no third-party analytics.

TrialTrack is operated by the nutrition research team responsible for the RCT Dairy Nutrition Study, affiliated with the University of Saskatchewan (Saskatoon, Saskatchewan, Canada).

2. Who can use the app
TrialTrack is not a public consumer app. There is no sign-up. Only people enrolled in the study by the research team can use it, with a participant ID and password issued to them. The study enrols adults; the app is not directed at children.
3. What the app records
We do not ask for your name, email address, phone number, postal address, date of birth, or any government identifier. Inside the platform you are only your participant ID.
- Your participant ID and password — issued by the study team. The ID is a plain label such as
p09; nothing inside the platform connects it to who you are. - Your daily study routine — a simple record of whether you consumed the study product and how much, plus the points that follow from taking part.
- Messages you send the team — the text of your messages and any photo, file, or voice note you choose to attach.
- A notification token — issued by Apple or Google so reminders and replies can reach your device. It is used for nothing else.
- Ordinary server logs — kept briefly for security and troubleshooting, as with any web service.
The app collects no medical or clinical records, no diagnoses, no laboratory results, and no health measurements taken by a clinician. The daily entry is a routine adherence log, not a medical record.
Separately, the contact form on this website asks for a name and email only so the team can reply to someone asking about joining. That is never merged into a participant record.
4. Device permissions
- Camera — only when you choose to take a photo to attach to a message.
- Photo library — only when you choose to attach an existing image to a message.
- Microphone — only when you choose to record a voice message.
- Notifications — only to deliver study reminders and message alerts.
The app does not request or collect your location, contacts, calendar, health-app records, or advertising identifier.
5. What we never do
- We do not sell, rent, or trade any information.
- We do not show advertising and share nothing with advertising networks or data brokers.
- We do not track you across other apps or websites.
- We do not use third-party analytics or profiling SDKs in the app.
- We do not profile you or make automated decisions about you.
6. Who can see your entries
Only authorised members of the research team, according to their role. Outside the team, information is shared only with the hosting and notification-delivery providers that operate the service on our behalf, and where disclosure is required by law or by the research oversight body that approved the study. Results and publications report aggregate findings only and never identify an individual participant.
7. How long it is kept
Study records are kept for the duration of the study and afterwards for the period set by the study protocol and University of Saskatchewan research records policy. Message attachments and server logs are kept only as long as needed for support and study integrity. After that, records are deleted or irreversibly de-identified.
8. Security
Access requires your participant ID and password. Credentials are held in the operating system's secure storage on your device, traffic between the app and our servers is encrypted with HTTPS/TLS, and administrative access is restricted to authorised study staff.
9. Your choices
- Access and correction — ask us what is recorded under your participant ID and ask us to correct it.
- Withdrawal — participation is voluntary and you may withdraw at any time without penalty by contacting the study team.
- Deletion — you can ask us to delete your study record, subject to what your consent form says about data already collected.
- Notifications — turn them off at any time in your device settings.
- Camera, photos, microphone — decline or revoke these in your device settings; the rest of the app keeps working.
To use any of these, email [email protected] with your participant ID — never your password.
10. Children
TrialTrack is for adult study participants. We do not knowingly collect information from children.
11. Changes
If this policy changes, the date at the top of this page is updated, and participants are told about material changes through the app or the contact route used at enrolment.
